HubSpot Integrations

HubSpot connected to the systems your business already runs on, so customer data moves between them without re-keying.

We connect HubSpot to your accounting, ERP, e-commerce, support and data tools using native apps, middleware or custom API work, whichever fits. Every integration starts with a written sync map, so you know what moves where before anything is switched on.

When HubSpot stands alone, your team becomes the integration.

Most businesses run on five or more systems. If HubSpot isn’t connected to them, people fill the gaps by hand: exporting, copying and checking. It costs time every week and leaves the CRM a step behind the rest of the business.

  1. Re-keying between systems

Sales closes a deal in HubSpot, then someone types it into the accounting system. Errors creep in and invoices go out late.

  2. Two versions of the customer

Addresses, contacts and account owners differ between HubSpot and the ERP, and nobody is sure which is right.

  3. Reps without the full picture

Order history, payments and open support tickets live elsewhere, so sales and service walk into calls without them.

  4. Connectors nobody owns

A sync was switched on years ago. It fails quietly, creates duplicates, and no one knows how it was set up.

Three ways to connect HubSpot

We recommend the simplest option that does the job properly. Most clients use a mix.

Off the shelf Built for you

Native app

1–2 weeks

HubSpot Marketplace apps, installed and configured properly.

Best for: Common tools with a well-supported connector, where the standard field mapping covers most of what you need.

  • Install and permissions
  • Field mapping and sync rules set
  • Duplicate and conflict handling
  • Tested with your real records

Middleware

2–4 weeks

A platform such as Make, Zapier or a specialist sync tool between HubSpot and your system.

Best for: Multi-step processes, systems without a native app, or cases where the native app can’t map what you need.

  • Workflow design and build
  • Error alerts to a named owner
  • Logging you can check
  • Documentation of every scenario

Custom API

4–10 weeks

Code written against the HubSpot API and your system’s API, hosted and monitored.

Best for: ERPs, in-house systems, custom objects, high volumes, or logic that off-the-shelf tools can’t handle.

  • Technical specification
  • Built, tested in a sandbox, then released
  • Monitoring and retry handling
  • Code and access handed over to you

What we connect HubSpot to

A selection of the systems we connect most often. If yours isn’t listed, ask; most systems with an API can be connected.

Accounting and finance

  • Xero
  • Sage
  • QuickBooks
  • Stripe

Invoices, payments and outstanding balances on the company record. Closed deals create invoices automatically.

ERP

  • Microsoft Dynamics 365 Business Central
  • NetSuite
  • SAP Business One

Customers, orders, products and pricing kept in step, so sales quotes from current data.

E-commerce

  • Shopify
  • WooCommerce
  • Adobe Commerce

Orders, products and purchase history on the contact, ready for segmentation and follow-up.

Support and telephony

  • Zendesk
  • Aircall
  • RingCentral
  • Microsoft Teams

Calls and tickets logged on the right record, with recordings and outcomes visible to the team.

Data and reporting

  • Snowflake
  • BigQuery
  • Power BI

HubSpot data in your warehouse or BI tool, and the numbers that matter brought back into HubSpot.

Your own systems

  • In-house platforms
  • Industry software
  • Custom databases

A custom integration through the HubSpot API, built and documented for your system.

Every field, every direction, agreed in writing

Before we build anything, you get a sync map: which records and fields move between systems, in which direction, how often, and which system wins when they disagree. Your finance, sales and operations leads sign it off, so the integration does what each team expects.

The sync map stays with you after launch as the reference for how your systems connect.

Sync map · excerpt HubSpot ⇄ Xero
Signed off before build
HubSpot Direction Xero Rule
Company name ⇄ Contact name Two-way. HubSpot wins on conflict
Company address ⇄ Billing address Two-way. Xero wins on conflict
Deal amount → Invoice total Draft invoice created when the deal reaches Closed won
Line items → Invoice lines Product codes matched by SKU
Invoice status ← Invoice status Updated hourly
Outstanding balance ← Amount due Shown on the company record and used in reports

From first call to live sync in five steps

A typical integration takes 4–10 weeks, depending on the systems and the approach. We confirm timing once the sync map is agreed.

  1. 1 Week 1

    Review

We look at the systems involved, the processes that cross them and any connectors already running.

  2. 2 Week 1–2

    Sync map

We agree the records, fields, directions and rules, and recommend native, middleware or custom.

  3. 3 Week 2–6

    Build

We build in a test environment or sandbox first, with error handling and logging from the start.

  4. 4 Week 6–8

    Test

Your team tests with real scenarios. We fix, retest and get sign-off before anything touches live data.

  5. 5 Week 8+

    Launch and monitor

We switch it on, watch the first weeks closely and hand over the documentation.

Integrations that keep working after launch

1

Process first

We start with the process that crosses the systems, such as quote to invoice, so the integration fixes the handoff rather than copying data for the sake of it.

2

The right tool, not the biggest

We recommend a native app when it does the job. We only write code when it’s the better long-term answer.

3

Built to fail safely

Error alerts, retries and logs are part of every build, so a problem is caught by an owner, not discovered in a report.

4

Yours to keep

Sync maps, documentation and, for custom work, the code and access are handed over. No black boxes.

What an integration costs

Pricing depends on the systems, the number of objects and fields, the direction of sync and the approach. After the review you get a fixed price for the build. Middleware and hosting subscriptions are billed by the provider.

HubSpot integration FAQs

Should we use a native app or a custom integration?

If a Marketplace app maps the records and fields you need, use it: it’s quicker and cheaper to run. Custom work makes sense when the app can’t handle your data, volumes or rules. The sync map makes the choice clear.

Can you fix an integration that’s already running?

Yes. We review how it’s set up, what it creates and where it fails, then fix it, rebuild it or replace it with a better option.

What happens if a sync fails?

Every integration we build has error alerts sent to a named owner, retry handling where the systems allow it, and a log you can check. Failures are caught and fixed, not found weeks later.

Who owns the integration after launch?

You do. You get the sync map and documentation, and for custom builds the code and access credentials. You can keep us on for support or run it yourselves.

Will it slow HubSpot down or hit API limits?

We design around HubSpot’s API limits from the start, using batching and sensible sync schedules, and check usage during testing.

Is our data secure?

We use the access each system provides, with the minimum permissions needed. Custom integrations are hosted on infrastructure you approve, and access is documented and handed over.
