Most HubSpot portals are set up in a hurry, then used at half strength.

The licence is signed, there’s a kick-off call, and the team is told to start using it. Properties get created as people need them, the pipeline copies the old spreadsheet, and the tools you’re paying for stay switched off. Six months later the data is messy, nobody trusts the reports, and HubSpot feels like extra admin.

Generic onboarding teaches the software. It doesn’t cover how your business works: your sales stages, the handoff from marketing to sales, the reports your leadership team needs each week. That part decides whether the team adopts it.

01

Built on the fly.

Properties, pipelines and lists are created as needed, so the portal reflects whoever set it up rather than how you sell.

02

Paid for, never used.

Sequences, workflows, reporting and service tools sit untouched because nobody had time to set them up.

03

The team drifts away.

Without training on their own process, reps go back to inboxes and spreadsheets within a few months.

What is HubSpot onboarding?

HubSpot onboarding is the structured set-up of your HubSpot portal around your business: account settings, CRM structure, the Hubs you’ve bought, integrations with your other tools and training for each team, so HubSpot is in daily use from launch. Done properly, it has five parts.

  1. 01

    Discovery

How your teams sell, market and serve today.

  2. 02

    Portal design

Properties, lifecycle stages, pipelines and permissions mapped to your process.

  3. 03

    Configuration

Each Hub you’ve bought set up and connected to your other tools.

  4. 04

    Training

Role-based sessions for admins, managers and users.

  5. 05

    Adoption review

A check after go-live to fix whatever isn’t being used.

We start with your process, then set up the platform to match it. You get a portal built around your stages and handoffs, a team that knows how to use it, and the documentation to keep it in shape as you grow.

Everything your team needs to work in HubSpot from week one.

Scoped to the Hubs and seats you’ve bought. Here’s what onboarding covers.

Account and portal settings

Users, teams, permissions, domains, tracking code, email sending and security settings.

CRM structure

Properties, lifecycle stages, deal and ticket pipelines, and record views that match how you work.

Marketing Hub

Forms, lists, email templates, lead scoring and your first nurture workflows.

Sales Hub

Pipelines, sequences, meeting links, quotes, playbooks and rep dashboards.

Service Hub

Ticket pipelines, shared inbox and chat, knowledge base and customer feedback.

Integrations and data import

Email, calendar and your key business tools connected, plus a clean import of your existing contacts and companies.

Adding a Hub or a new team to an existing portal? We onboard those too, without disturbing the teams already working in HubSpot.

Live in HubSpot in four phases

Each phase ends with a sign-off, so you see the portal take shape and your team is involved well before launch.

  1. Discovery and plan · week 1

We meet each team lead to map how leads, deals and customers move through your business today. We agree goals, the Hubs and features in scope, how success will be measured and a go-live date. You get a written onboarding plan and a fixed price.

  2. Portal design · weeks 2–3

We design the CRM around your process, covering properties, lifecycle stages, pipelines, teams and permissions. You review and sign off the design before we build anything.

  3. Build and connect · weeks 3–6

We configure each Hub, connect your inbox, calendar and key tools, import your existing contacts and companies, and build the first workflows, templates and dashboards.

  4. Train and launch · weeks 6–8

Role-based training for admins, managers and users, in your own portal with your own data. We go live, then hold an adoption review 30 days later to fix whatever isn’t being used.

What you have when we finish

  • A configured HubSpot portal, set up around your process
  • A portal design document and admin guide
  • Dashboards for leadership, sales and marketing
  • Recorded training sessions for each role
  • A 30-day adoption review

Timing note: A single Hub for a small team typically goes live in 4–6 weeks. Multi-Hub onboarding for larger teams with several integrations runs 8–12 weeks. We confirm the timeline in discovery.

Set up once, and set up properly

1

Process before platform

We map how your business runs before we change a setting, so the portal fits your stages and handoffs rather than a template.

2

Training on your own portal

Sessions use your data and your pipelines, so each team practises the work they’ll actually do on Monday morning.

3

Diamond Partner depth

As a HubSpot Diamond Solutions Partner we’ve set up portals across Marketing, Sales, Service and Content Hub, and we bring that pattern library to yours.

4

Support after launch

A 30-day adoption review, then optional ongoing support, so the set-up keeps pace as your team and processes change.

The first 90 days decide whether HubSpot sticks.

Here’s what the portal tends to look like a few months after launch, with and without structured onboarding.

Without structured onboarding

  • Properties created by whoever needs one
  • A pipeline copied from the old spreadsheet
  • Paid features left switched off
  • Reports nobody trusts
  • The team back in their inboxes within months

With Web Journey

  • A documented CRM design, signed off before build
  • Pipelines and lifecycle stages that match how you sell
  • Every Hub you bought configured and in use
  • Dashboards leadership uses in the weekly meeting
  • A trained team, and an adoption review at 30 days

HubSpot onboarding FAQs

How long does HubSpot onboarding take?

Most onboarding projects go live in 4 to 12 weeks, depending on how many Hubs, users and integrations are in scope. A single Hub for a small team is usually 4–6 weeks. We confirm the timeline in discovery.

We already have HubSpot’s own onboarding. Do we still need you?

HubSpot’s onboarding teaches the software and covers the essentials. We design the portal around your process, connect your other tools and train each team on its own workflows. The two work well together.

Can you onboard a new team or Hub onto our existing portal?

Yes. We review what’s already set up, design the new team’s pipelines and permissions to fit alongside it, and train the new users without disrupting the teams already working in HubSpot.

What do you need from us?

A project owner on your side, an hour with each team lead during discovery, admin access to HubSpot and the tools we’re connecting, and time for your team to attend training.

Do you import our existing data?

Yes. Importing contacts and companies from spreadsheets or a simple tool is part of onboarding. If you’re moving from another CRM with deals, activity history and automation, that’s a migration, and we scope it separately.

What happens after go-live?

We hold an adoption review 30 days after launch to check usage and fix what isn’t working. After that you can continue with ongoing support or training, or run the portal yourselves using the admin guide.
