A migration that only moves records is a migration that fails quietly.

Launch day usually looks fine. The contacts are there, the dashboard loads, the team logs in. The problems show up over the next 30 to 60 days: deal history that lost its context, a lead-scoring rule that never got rebuilt, an integration that silently stopped syncing, reps back in spreadsheets because they don’t trust what they see.

Most migrations drop exactly the things your team relies on to keep selling: the notes, the timestamps, the associations between a contact, a company and a deal, and the automation that ran without anyone thinking about it. Moving records is the easy part. Moving how your business actually works is the job.

01

Lost history.

Years of calls, emails and notes arrive unattached to the records they belonged to, or don’t arrive at all.

02

Broken automation.

Workflows, lead routing and scoring built up over years aren’t translated, so the new system does less than the old one.

03

Adoption collapses.

When reps can’t find what they need, they stop using the CRM, and leadership loses the reporting it was promised.

What is a HubSpot migration?

A HubSpot migration is the structured move of your CRM data, marketing automation, service records, website content and connected systems from your current platform into HubSpot, without losing history, breaking pipeline flow or interrupting your team’s work. Done properly, it has five parts.

  1. 01

    Audit

An audit of what you have and what’s worth keeping.

  2. 02

    Target design

A target design for how HubSpot should be structured for your business.

  3. 03

    Transfer

A controlled, validated transfer of the data.

  4. 04

    Rebuild

A rebuild of the automations and integrations that depend on it.

  5. 05

    Cutover

A cutover with training and post-launch support, so the team is productive from the first day.

At Web Journey we treat migration as a revenue-operations project, not an IT task. You don’t get a copy of the system you’re leaving. You get a HubSpot portal designed around how your sales, marketing and service teams work now, with the history to back it up.

Everything that runs your revenue operation, not just the contact list.

If it can be exported by API or CSV, we can migrate it. Here’s what a full migration covers.

CRM data and objects

Contacts, companies, deals, tickets, activities, notes, emails, calls, meetings, attachments and custom objects, with every association between them preserved.

Automation and workflows

Lead routing, lifecycle and deal-stage automation, nurture sequences, lead scoring, task creation and notifications, rebuilt and tested in HubSpot rather than copied blindly.

Marketing assets

Email templates, subscriber lists, segmentation, forms, landing pages, CTAs and campaign tracking, moved into Marketing Hub with subscription status and consent intact.

Integrations

ERP, finance, telephony, e-commerce, data warehouse and marketing tools re-pointed to HubSpot and verified before go-live, so nothing breaks in week two.

Reports and dashboards

Pipeline, forecast, attribution and leadership dashboards rebuilt in HubSpot with historical data behind them, so your reporting doesn’t restart at zero.

Website and blog

Pages, blog posts, media, URL structure, redirects and metadata into Content Hub, with SEO preserved.

Knowledge base

Help-centre articles and ticket pipelines into Service Hub.

Sales tools

Sequences, email templates, snippets, playbooks and meeting links, rebuilt in Sales Hub so reps have the tools they rely on from their first day in HubSpot.

Products, quotes and line items

Your product library, pricing and quote templates, with line items attached to the right deals, so quoting carries on without a gap.

Users, teams and permissions

User accounts, team structure, record ownership and access rights set up to match how your business is organised, so the right people see the right records.

Conversations and help desk

Inbox and chat history, SLAs, ticket routing and chatbots moved into Service Hub, so customer conversations keep their context.

Ads and social accounts

Ad accounts, audiences and social publishing reconnected in HubSpot, so campaign attribution keeps running through the move.

We also merge and restructure existing HubSpot portals, whether after an acquisition or to consolidate multiple accounts into one.

Wherever your data lives today

Every source system has its own data model and its own quirks. We’ve built a migration playbook for each of the platforms below and adapt the same validated framework to anything else.

Salesforce

Full CRM migration including custom objects, Pardot / Marketing Cloud automation, reports and Apex-driven logic.

Pipedrive

Pipelines, activity history and contact data moved cleanly, sales workflows rebuilt with better tooling.

Microsoft Dynamics

Accounts, opportunities and service cases mapped into HubSpot’s unified CRM.

Zoho

Contacts, deals, workflows and custom modules migrated into a single HubSpot architecture.

NetSuite

ERP-to-CRM migration and ongoing integration for contacts, companies, transactions and custom records.

Marketo, Pardot, ActiveCampaign, Mailchimp

Lists, templates, scoring and nurture programmes rebuilt in Marketing Hub.

Zendesk, Freshdesk

Tickets, custom fields, views and automations translated into Service Hub pipelines.

WordPress, Squarespace, Joomla

Website and blog migration into Content Hub with redirects and SEO metadata intact.

HubSpot to HubSpot

Portal merges, consolidations and restructures after acquisitions or growth.

Spreadsheets, databases and email

Excel and CSV files, SQL and NoSQL databases, Outlook and Gmail contacts, cleaned and imported into the right fields.

Using something we haven’t listed? If it stores customer data, we’ve almost certainly migrated from it. Tell us what you’re on.

A controlled, validated migration in five phases

No cold cutover, no guessing. Each phase has a checkpoint you sign off before we move to the next, and your team keeps working in the old system until HubSpot is proven.

  1. Discovery and audit · weeks 1–2

We map your current system as an entity-relationship diagram: objects, properties, automations, integrations and data quality. We agree what migrates, what gets cleaned, what gets retired and where the cut-off date sits, and we set the data-governance rules for the project: who can access what, how data is handled and what’s retained. You get a scoped plan, a timeline and a fixed price before any data moves.

  2. Target design · weeks 2–3

We architect the HubSpot portal around how your teams actually work: lifecycle stages, pipelines, custom objects, properties, permissions and teams. Field-mapping is documented in a template you review and approve.

  3. Clean, migrate and validate · weeks 3–6

Records are deduplicated and cleaned at source. We run a sample migration first, reconcile it against the source system, fix any discrepancies and then run the full transfer in stages: historical data, then active deals, then automations. Every batch is reconciled record by record.

  4. Rebuild integrations and automation · weeks 5–7

Connected systems are re-pointed to HubSpot. Workflows, lead routing, scoring and reporting are rebuilt and tested in a live environment with real data, before anyone relies on them.

  5. Go-live and hypercare · weeks 7–8, then 30 days

A go / no-go review, a final delta sync of anything that changed during the migration, training on your own data, and a clean cutover. We’ll advise on keeping your old licences running for a short overlap so nothing is unrecoverable. We then monitor data flows, tune automations and fix edge cases for 30 days after launch.

Deliverables at the end:

  • A working HubSpot portal, configured and documented
  • A field-mapping document and migration log
  • A reconciliation report showing source and target counts for every object
  • Recorded training and a handover guide for your team

Timing note: Straightforward CRM migrations with clean data typically complete in 4–6 weeks. Enterprise migrations with multiple business units, complex automation and several integrations run 8–12 weeks. We confirm the timeline in discovery.

Data migration or full portal migration?

Not every move needs the full treatment. We scope one of two engagements in discovery.

Data migration Full portal migration
What moves Contacts, companies, deals, activities and notes Everything: data, custom objects, properties, settings, assets and files
Automation Left in place or rebuilt by your team Workflows, scoring and routing rebuilt and optimised
Integrations Not included Every connected system re-pointed, tested and verified
Reporting Standard HubSpot reports Dashboards rebuilt with historical data
Training and hypercare Handover session Role-based training plus 30 days of post-launch support
Best for Simple moves where workflows and integrations stay elsewhere Replacing a CRM the business runs on
Typical timeline 3–5 weeks 6–12 weeks

Built on operational certainty, not hope

1

Zero-loss, and we prove it

Every contact, deal, activity and property is mapped, transferred and reconciled against the source. You receive a reconciliation report showing counts for every object, so you know nothing was lost rather than hoping it wasn’t.

2

The whole picture, not just the records

Notes, timestamps and the associations between contacts, companies and deals arrive intact. Your team keeps the context they need to pick up a conversation where it left off.

3

Parallel running, no cold cutover

Your old system stays live while we build and validate HubSpot. A final delta sync captures anything created during the transition, so there’s no downtime and no gap in pipeline visibility.

4

A better system than the one you left

We don’t replicate legacy clutter. Discovery identifies which automations are load-bearing and which are dead weight, and the HubSpot portal is designed around how your teams work now.

5

Integrations that survive go-live

ERP, finance, telephony and marketing tools are mapped and tested in a staging environment before cutover. The most common week-two failure is the one we design out first.

6

Adoption from day one

We train your team on their own data during the transition, not on a demo portal afterwards. Migration without adoption is just an expensive database move.

7

AI-ready by design

Clean, associated, consistently structured data is what HubSpot’s AI features run on. We migrate with that in mind, so Breeze agents, predictive scoring and AI reporting work from day one instead of after a second clean-up project.

8

GDPR-compliant handling throughout

EU data residency, lawful basis, consent and unsubscribe status carried across from day one, with encrypted transfers and documented data-handling at every step.

The difference between a migration that stalls revenue and one that accelerates it is methodology.

Move data without a plan and records go missing, integrations break and the team drifts back to spreadsheets. Here’s what each approach looks like.

Without a proven partner

  • Manual CSV uploads and a one-off handover
  • Records go missing and contacts duplicate
  • Custom fields don’t map to the new system
  • Engagement history left behind
  • Integrations break within weeks of go-live
  • Reps revert to spreadsheets and adoption craters
  • Leadership loses months of historical reporting

With Web Journey

  • API-based transfer with continuous validation and a reconciliation report
  • Every record mapped, deduplicated and reconciled
  • Custom objects and properties migrate cleanly
  • Calls, emails, meetings and notes arrive attached to the right records
  • Integrations tested and verified in a sandbox before cutover
  • Team trained on real data during the transition
  • Dashboards live on day one with trusted data

What a migration costs, and how long it takes

Migration pricing depends on the volume of data, the number of objects, the complexity of your automation and how many integrations need rebuilding. We scope it in discovery and give you a fixed price and a timeline before any data moves, so there are no surprises mid-project.

As a guide:

3–5 weeks

Data migration

Up to [X] users, clean data, few or no integrations.

From €[X]

6–10 weeks

Full portal migration

[X]–[X] users, automation and 1–3 integrations.

From €[X]

10–12+ weeks

Enterprise migration

Multiple business units, custom objects, complex integrations, portal merges.

Note on data cleanup

Clean data migrates faster.

We recommend cleaning your source data before migration. We can do it for you; it extends the timeline slightly and is quoted separately in discovery.

HubSpot migration FAQs

How long does a HubSpot migration take?

Most migrations complete in 4 to 10 weeks. A straightforward CRM migration with clean data takes 4–6 weeks; enterprise migrations with multiple business units, complex automation and custom integrations run 8–12 weeks. We confirm the timeline during discovery and build in time for validation and training.

Will we lose any data?

No. Our framework includes a pre-migration audit, staged transfers with validation at each checkpoint and a post-migration reconciliation. Every record is mapped, transferred and verified, and you receive a reconciliation report showing source and target counts for every object.

Can we keep using our current CRM while you migrate?

Yes. Both systems run in parallel. Your team keeps working in the existing CRM while we build and validate HubSpot. Anything created or changed during the transition is captured in a final delta sync before cutover, so there is no forced downtime and no gap in your pipeline.

Will our integrations break?

Not if we can help it. We map every connected system in discovery and either rebuild the integration in HubSpot or re-route it before go-live. Each one is tested in a staging environment with real data before cutover.

Which platforms can you migrate from?

Salesforce, Pipedrive, Microsoft Dynamics, Zoho, NetSuite, Marketo, Pardot, ActiveCampaign, Mailchimp, Zendesk, Freshdesk, WordPress, Squarespace, spreadsheets, databases and other HubSpot portals. If your system can export data by API or CSV, we can migrate it.

Who cleans the data before migration?

We recommend you clean your source data first, and we’ll show you what to look for. If you’d rather we did it, we can, as a separately scoped piece of work that adds a little to the timeline.

Do you rebuild automation, or just move records?

We rebuild it. Workflows, lead routing, scoring and lifecycle logic are translated into HubSpot, tested with live data and optimised rather than copied. Moving records is the easy part; translating how your business runs is where migrations succeed or fail.

Is SEO preserved on a website or blog migration?

Yes. We map URLs, set up redirects, carry across metadata and preserve your content structure so search visibility is maintained through the move to Content Hub.

How much does a HubSpot migration cost?

It depends on data volume, number of objects, automation complexity and how many integrations need rebuilding. We give you a fixed price after the discovery audit so you know exactly what you’re paying for before any work begins. Indicative ranges are above.

Should we use HubSpot’s own migration tools instead?

HubSpot’s native tools work well for simple imports from a handful of platforms. For anything with custom objects, complex automation, integrations or large volumes, an accredited partner reduces risk, shortens the timeline and makes sure reporting and automation are rebuilt correctly from day one.

Is the migration GDPR-compliant?

Yes. We handle data in line with GDPR, covering data residency, lawful basis, consent and unsubscribe status from day one, with encrypted transfers throughout.

What happens after go-live?

Thirty days of hypercare: we monitor data flows, tune automations, fix edge cases and reinforce training. The first month is where quiet failures surface, so we stay close until the system is proven.

Do you migrate HubSpot to HubSpot?

Yes. We merge portals after acquisitions, consolidate multiple accounts into one and restructure existing portals while preserving customer data and workflows.

Will we keep our engagement history: calls, emails, meetings, notes?

Yes, and it’s one of the first decisions we make with you. Engagement history is what gives your team context on a deal, so we migrate it attached to the right contact, company and deal rather than as loose records or not at all.

What tools do you use to migrate?

API-based migration tooling with automated, rule-based field mapping and continuous validation, not one-off CSV uploads. For engagement history and large volumes we use purpose-built migration tools alongside HubSpot’s native import, and we reconcile every batch against the source.

Should we keep our old CRM licence running during the migration?

Yes, for a short overlap. We recommend planning your migration so the old system stays available through go-live and the first weeks of hypercare, so nothing is unrecoverable if we need to check something at source.

Will moving to HubSpot save us money?

Often, yes. Consolidating a CRM, marketing automation tool, support desk and the connectors between them into one platform usually reduces licence and admin cost. We can run a total-cost-of-ownership comparison for your current stack as part of the assessment.

Will our data be ready for HubSpot’s AI features?

That’s a design goal of the migration. HubSpot’s AI tools depend on clean, associated, consistently structured data. We migrate to that standard, so scoring, agents and AI reporting work from launch rather than after a second clean-up.
